That basic process works in a general PDF editor. For a full class set, however, a dedicated marking app adds the missing structure: students, questions, maximum marks, progress, feedback and results.
What you need
Prepare the following before you begin:
- an iPad that supports your Apple Pencil;
- a charged and paired Apple Pencil;
- student scripts scanned as PDFs;
- the mark scheme or rubric;
- a secure place to keep the original scans and final exports;
- either a PDF annotation app or a dedicated iPad marking app for teachers.
Use a short, representative script for the first trial. Include at least one page with small handwriting, a diagram and an answer near the edge of the paper. Those cases reveal whether zooming and annotation remain comfortable.
Step 1: Prepare readable PDF scans
Apple Pencil cannot compensate for an unreadable source. Scan at a resolution that preserves handwriting, graph labels and working without making every file unnecessarily large. Keep the page flat, remove shadows and check orientation.
If one PDF contains a full class, make sure every script has the same page count or clear separators. If scripts are stored separately, use a stable file naming pattern such as candidate number followed by surname.

Step 2: Set up questions and maximum marks
Annotating a PDF and marking an assessment are related but different jobs. Before writing on the page, create or confirm the assessment structure:
- question labels in the same order as the paper;
- subquestions where separate marks are awarded;
- maximum marks;
- rubric criteria or levels, if used;
- mark scheme access;
- any accepted special score such as unattempted.
This structure prevents the handwritten score on the page from becoming the only record. It also lets the marking tool calculate totals and question-level results.
Step 3: Choose a marking order
For a small set of extended essays, marking one whole script at a time may be natural. For structured tests, consider marking the same question across the class. The answer area, mark scheme and maximum stay consistent while only the student’s response changes.

Step 4: Use Apple Pencil where location carries meaning
Apple Pencil is strongest when feedback needs to point to a particular line, symbol or stage of working. Circle a transcription error, underline the evidence that earned a mark or place a short prompt beside the point that needs development.
Keep the annotation system restrained:
- Use one consistent pen colour with good contrast.
- Make short marks beside the evidence rather than covering it.
- Avoid writing a long paragraph in the margin when typed feedback would be clearer.
- Use undo for accidental strokes instead of scribbling over them.
- Check that marks remain correctly positioned after zooming and rotating.
The goal is not to reproduce every habit of paper marking. It is to use handwriting where its spatial relationship to the answer is useful.
Step 5: Record the score separately from the ink
A handwritten 3/4 is useful to the student, but the system also needs a structured score. Enter the mark in the question’s score control and confirm that it does not exceed the maximum unless the assessment has a legitimate exception.
If you use a rubric, select the relevant criterion and band before adding a manual adjustment. A clear marking record should show both the rubric decision and any override. That makes later review and moderation much easier.
Do not rely on adding the handwritten numbers at the end. Structured question scores are what allow automatic totals and assessment results analysis.
Step 6: Add concise, actionable feedback
Use three layers of feedback deliberately:
- Pencil annotation for a precise place in the response.
- Reusable comment for a misconception or next step that appears across the class.
- Individual note for what is distinctive about this student’s answer.
Not every answer needs all three. Feedback should earn its place by helping the student understand the decision or improve a future response. A well-designed teacher comment bank reduces repetition without making comments generic.
Step 7: Pause and resume safely
Before trusting the workflow with a full class, test interruption:
- Add an annotation, score and comment.
- Move to another student.
- Close the app.
- Reopen the assessment without Wi-Fi.
- Confirm that the work and current position remain.
Also check how the app indicates saving. A teacher should not need to guess whether the last few answers have been recorded.
Step 8: Export and inspect a marked paper
Export one marked PDF before completing the whole assessment. Open it in a different app and, if the school returns printed work, print a sample page.
Check that:
- annotations are aligned and legible;
- no feedback is clipped;
- pages remain in the correct order;
- the student identity is correct;
- scores and totals agree;
- the file does not depend on the marking app to display its annotations.
Flattened annotations are usually the most portable for returned work. Keep an editable source inside the marking system when later correction is required.
